This Privacy Policy explains how we may collect, use, store, and protect any information gathered when you access and use our website (“Website”), subscribe to our mailing list, or engage with our services. Your privacy and informed consent matters to us, and by continuing to use our website you are agreeing to the terms, practices, and other information outlined in this Policy, and confirming that you have been given reasonable opportunity to review the Policy before proceeding. This agreement is binding, and is effective as of the date you access our Website.

 

Please note, this Policy does not relate to or govern any data or information we collect, that is gathered offline.  The Practice has no control over information gathered by third-party websites or partners we may link to, including affiliates.

When you use our contact form or intake form, we may collect the following personal information:

  • Referral source

  • Any personal information you submit through contact and intake forms

  • Non-identifying limited technical data (like IP address) for basic functionality and analytics, collected automatically via cookies.

We collect your personal information directly, to the degree that you provide it, when you:

  • Sign up to our mailing list

  • Submit a contact form via our Website

  • Submitting an intake form via Halaxy

  • Email, call, or SMS us

  • Engage with us for professional services

 

We do not collect personal information from third parties unless required or authorised by law, unless you have provided your consent for this.

 

How We Use Your Information

We collect your information / may use your information for the following purposes:

  • To respond to your enquiries or requests

  • To assess your enquiry reason and suitability for services (if our books are open for new clients/if there is adequate availability in our caseload to do so)

  • To provide psychological, supervisory, consultancy, or professional development services if engaged

  • To comply with our legal and ethical obligations as a health practitioner

  • To improve our Website, offerings, and services

 

We do not and will never sell or share your personal information for marketing purposes, or to any third parties.

 

We may disclose your personal information to:

  • Other health professionals, with your consent, for the purpose of care coordination

  • Legal or regulatory authorities, if required by law

  • Our IT or website service providers, solely to maintain or improve our Website (subject to confidentiality agreements)

We do not knowingly collect information from people under 18 years of age or without capacity to consent. Individuals under 18 years of age may access, use, provide any information, or engage in any other way, through our Website, without verified consent from parents/authorised caregivers if they are deemed to be a mature minor and able to understand fully what is proposed. If we become aware that we have unintentionally collected personal information from someone that does not have the capacity to consent, we will delete that data promptly. Please note, we have the right to refuse to update or delete your personal data if we have reason to believe that such changes would violate any law or legal process, if we have reason to believe the requested change is incorrect, and/or if we have reason to believe that the requested access or change has not been made by you.

 

Data Retention

If you become a client (engaging with us for psychological services such as therapy and/or assessment), your personal information will be stored in accordance with our clinical record-keeping obligations under Australian law (for a minimum of 7 years, or until a child reaches the age of 25) via our practice management software, Halaxy. If you do not become a client, we will only retain your contact form information as needed to manage your enquiry, after which it will be securely deleted.

 

Data Security

We are committed to protecting your personal information and take reasonable steps to protect/safeguard it from misuse, interference, loss, unauthorised sharing, unauthorised access, modification, or disclosure, via measures we have in place. Information submitted through the website contact form is transmitted via secure connections (HTTPS) and stored on Wix servers, which are compliant with international data protection standards. Information submitted through the Halaxy intake form is stored securely on the Halaxy website servers, which adheres to Australian Privacy Principles (see Halaxy’s privacy policy for more information).

 

It is important to note, however, that no online system can guarantee complete and absolute security, particularly as technology continues to evolve. While we follow current best practices in data security, we cannot guarantee absolute security of your data. It is also important to remember that keeping your information/data secure is also your responsibility. Do not share your passwords or account details with anyone else, regardless of whether they are known or unknown to you. Any personal data or information you submit to us – whether directly or automatically – is done at your own decision, and risk. We are not responsible or liable for any breaches resulting from the circumvention of the security systems and privacy measures on our Website.
